Shipontime WMS Privacy Policy

1 Who we are
Clotho LLC, operating as Shipontime WMS ("Clotho," "we," "us" or "our"), provides the Shipontime WMS software service at app.shipontime.com (the "Service"). This Privacy Policy explains how we handle personal information through the Service, onboarding, support and software billing.

Shipontime warehouse services are operated by Northeast Online Services LLC under separate agreements. This policy covers Clotho’s software-related processing. A warehouse operator’s own processing is governed by its notices and agreements. Use of a shared brand does not itself authorize unrestricted sharing of customer information.
2 Our role and information sources
We determine how personal information is used for our account relationships, software billing, support and security administration. For business data processed on a customer’s instructions, we act as a processor or service provider where that role applies. Responsibilities depend on the activity, applicable law and customer agreement.
Information may come from you, your organization, authorized warehouse operators and users, connected services, and use of the Service. If your information is supplied by a customer, such as your employer, seller or warehouse operator, that organization also has its own privacy responsibilities. We do not process QuickBooks information on Intuit’s behalf.
3 Information we process
- Account and contact information, such as names, email addresses, organization names, user identifiers, roles, permissions and authentication information.
- Operational information, such as products, inventory, orders, receiving and storage activity, scan events, packing, labels, shipments and tracking. This may include recipient, buyer, supplier or staff names, addresses, telephone numbers and email addresses.
- Integration information, such as connected account or company identifiers, credentials or authorization tokens, settings, customer and service mappings, synchronization status and records needed for enabled features.
- Billing and accounting information, such as invoices, service line items, amounts, dates, payment terms, balances, payment status and billing contacts.
- Support messages, submitted files, access and technical logs, diagnostic information, and integration journals that may contain payload snapshots, remote identifiers, hashes, retries and errors.
The information processed depends on the features and connections used. Please do not submit unnecessary sensitive personal information or credentials in ordinary support messages.
4 How we use information
We use information to administer accounts, authenticate users, apply permissions, provide selected workflows, exchange authorized records with connected services, deliver operational messages, support customers, administer software fees, troubleshoot faults, protect the Service, and meet applicable legal obligations or address legal claims. Customer workflow information is processed for the relevant service and customer instructions, subject to applicable law and agreements.
5 ShipStation and shipping information
When ShipStation is connected, the Service may exchange recipient names, addresses and contact details; order, shipment and item identifiers and dates; SKUs and quantities; package weights and dimensions; carrier and tracking information; and label costs. Depending on the feature used, it may import orders or submit manual orders, inventory updates, rate or label requests, returns and supported cancellation requests.
A warehouse organization’s connection may serve multiple stores or clients. Information is shared with ShipStation and the selected carrier or other shipping provider as needed for the requested workflow. Those providers may process information under their own notices and agreements.
Automatic order import does not by itself purchase labels. Disabling import stops discovery of new work through that setting, but accepted jobs may continue. It does not revoke the stored credential or delete historical records. Leaving a credential field empty preserves the existing credential.
6 QuickBooks Online information
A warehouse organization may connect a QuickBooks company. The Service stores connection identifiers, environment and company details, authorization information and status. The integration reads company information, customers, service items, invoices, balances and payment-reconciliation information. It can send service invoices containing customer and item references, USD amounts, invoice and due dates, a WMS reference, service period, memo and billing email. This invoice workflow does not send inventory SKUs or stock levels. Invoice emails may be sent through Intuit when configured.
QuickBooks information is used for the authorized integration and supporting functions. Integration journals may retain payload snapshots and synchronization or error details. We do not sell QuickBooks data or make it available for unrelated third-party use. Intuit’s own processing is governed by its privacy statement and applicable agreements.
Pausing QuickBooks synchronization changes the local connection status. It does not itself revoke Intuit authorization, erase stored information or establish that all in-flight work has stopped. Revocation through the provider and a request to delete information held by Clotho are separate steps. Contact us for assistance; do not rely on pause as a complete disconnect.
7 Other disclosures and providers
Information may be available to the customer’s account owner, administrators, authorized users and warehouse operators according to their roles and workflows. We may disclose information to providers used for hosting, databases, email, support, security, payments and other enabled integrations, as needed for those functions. Available integrations are not necessarily enabled for every customer.
We may also disclose information when required by law or valid legal process, where lawfully necessary to address fraud, security incidents or legal claims, or in connection with a business reorganization or transfer subject to applicable privacy and confidentiality requirements. This policy does not authorize unrelated sharing simply because businesses have a common owner.
8 Retention and deletion
Retention depends on the type of record, the service relationship, customer instructions, integration restrictions and applicable accounting, security or legal requirements. Retained information can include operational and financial records, integration journals, uploads and backups. We do not promise that disabling a feature, canceling a subscription or archiving an account automatically erases all information.
Archiving a tenant ends app sessions and marks the account archived; it is not a complete data-erasure or provider-revocation process. Information already sent to a customer, warehouse operator or connected provider may remain under that organization’s control. Removing information from Clotho does not automatically reverse a third-party transaction.
You may request access, export, correction or deletion by emailing serkan@shipontime.com. We will assess the request, verify authority where needed, and handle it under applicable law and the relevant agreements. If information must be retained or a request cannot be fully fulfilled, we will explain the applicable reason. Deletion requests are separate from subscription cancellation and integration disconnection.
9 Browser storage security and processing locations
The Service uses browser storage and session information to support sign-in, account access and functionality. Browser controls may limit storage, but doing so can affect the Service. Contact us with questions about privacy controls for a particular feature.
No online system is completely secure. Protect your credentials, assign access carefully and report suspected unauthorized access promptly to serkan@shipontime.com. We do not make a guarantee of absolute security or uninterrupted availability.
Hosting, communications and connected-service providers may process information outside your country. Applicable restrictions and safeguards depend on the processing and jurisdictions involved. Contact us for information about the providers and locations relevant to your use.
10 Your rights
Depending on applicable law, you may have rights to access, correct, delete or obtain a portable copy of information; restrict or object to processing; withdraw consent; opt out of certain uses; use an authorized agent; appeal a decision; or complain to a privacy regulator. Rights may have exceptions and verification requirements. Email serkan@shipontime.com to make a request. If a customer controls the information, we may direct the request to that customer and assist as required.
Withdrawing permission may prevent the connected feature from working. It does not affect earlier lawful processing. Our Terms and this policy do not waive privacy rights or replace consent that the law or a provider requires.
11 Business use and policy changes
The Service is intended for business use and is not directed to children. Contact us if you believe a child has submitted personal information directly to us.
We may update this policy and will show its effective date. For material changes, we will provide an appropriate notice through the Service or account contact. We will obtain consent or take other steps where required; posting an update alone does not replace such requirements.
